Clarity New User Training Schedule

As the community transitioned HMIS software systems, the HMIS team has offered numerous large and small-group training sessions to try to ensure all existing HMIS users have an opportunity to get trained on the new software as quickly as possible. Now that over 700 users have been trained on the basic steps required for creating clients, managing households and enrolling clients in programs in the new software, the HMIS team is shifting to a regular training schedule.

Clarity New User Training will be offered once a week at an in-person session held at the United Way Building (4699 Murphy Canyon Road, San Diego 92123).

This weekly in-person training will not be the same day every week, but as dates are finalized the date/time of each session will be posted on the RTFH Events Calendar. Sessions are titled “Clarity/HMIS New User Training”. Please note that advance registration is required and that two registration options are provided – one for those who can bring a laptop computer with them to a training session and one for those who need to reserve both a spot in the session and use of an RTFH laptop. Because the supply of computers is limited, we strongly encourage anyone with access to a laptop computer to try to bring one with in order to free up as many computers as possible for those who do not have access to one.

As of now, New User Training will be offered in-person only. If you have questions or concerns about attending training in-person or if you are interested in scheduling a training for a group at your location, please email support@rtfhsd.org. We will consider training requests in order to meet providers’ needs, but by default New User Training will be offered once a week at the United Way building.

Current Training Catalog

Currently both RTFH’s HMIS team and CES team are offering training sessions for the community. These sessions cover different content and attendance at them is required for different kinds of access within the new HMIS software, Clarity. See below for a breakdown of the two different training sessions.

(1) Clarity/HMIS New User Training

This training session is offered by the HMIS team and covers the basics of using the new HMIS software, Clarity including:

  • Basic navigation
  • Creating clients
  • Adding clients into a household
  • Enrolling a household into a program
  • Adding a status assessment and service to your enrolled household
  • Exiting a household from a program
  • Additional features, including notes, public alerts, client files and using the client location feature

Clarity New User Training is offered once a week at an in-person session held at the United Way Building (4699 Murphy Canyon Road, San Diego 92123). It is not held on the same day of the week every week, but as dates are finalized for the upcoming month’s sessions each date/time of each session will be posted on the RTFH Events Calendar. Sessions are titled “Clarity/HMIS New User Training”. Advance registration is required and is available online; click on a “Clarity/HMIS New User Training” session from the Events Calendar to review details and register.

Attendance at this session is required in order to gain access to a Clarity user license. Attending a session will qualify you for a user license, but you will not actually obtain one until your access needs and the purchase of a user license are approved by your agency administrator (who will be contacted following training for approval of your license).

While you may attend CES training before attending this training session, you will not actually be able to log into Clarity until you have completed New User Training. Attending this session will qualify you to access a Clarity user license, but will not include access to CES in Clarity unless you have attended both required portions of CES training.

(2) CES Training – CES Workflow in Clarity – In-Person Session

This in-person training session is offered by the CES team and covers changes to the CES process as well as how to complete the CES data entry workflow in the new HMIS software, Clarity.

See the Events Calendar for upcoming training sessions (the sessions will be titled “Training Session: CES Workflow in Clarity”). Attending one “CES Workflow in Clarity” training session is required in order to gain access to CES within Clarity (access to CES will enable users to enter data for CES purposes, such as completing the triage tool or accepting referrals from CES into permanent housing programs).
